Sending an Encrypted Email

There are two ways in which you can send an encrypted email.

As a registered user, you can send an encrypted email from the EncryptTitan secure portal by logging into the portal and Composing an Email.

You can also send an encrypted email by using your own email account if your admin has set up any of the delivery methods described below. When you use one of these delivery methods, you must enter a keyword in the subject line of an email to trigger encryption. Your admin will advise you of the unique keyword(s) set up for each delivery method they have enabled.

The following are the available encryption delivery methods:

  • TLS: Transport Layer Security (TLS) protocol is used to deliver emails securely and directly to the recipient’s inbox.

  • No Registration Required (NRR): This delivery method means the email will be delivered to a secure portal without the recipient having to set up an account on the secure portal. The recipient will receive an email advising them that they have received a secure email and to follow the link to view the email in the secure portal. The email recipient receives a one-time password (OTP) to view the email as an extra level of security. This delivery method is more secure than TLS delivery.

  • Registration Required (RR): This delivery method is the highest level of security and means the recipient must be registered on EncryptTitan to view the content of encrypted emails. A recipient of an email sent with the RR keyword must set up an account on the secure portal to view their email. The email recipient will receive an email advising them that they have received a secure email and to follow the link to view the email in the secure portal. If they have an existing account, then they'll log in using their Login ID and password. If they don't have an account, they'll be directed to create an account on the secure portal.

To send a secure email directly from your email account:

  1. Log in to your email account, for example, Outlook.

  2. Create a new email message, ensuring that the recipient's email address is correct.

  3. In the Subject field, enter the subject line keyword that your admin has configured to trigger encryption. Choose the keyword for the security level required.

  4. Create your message and send the email.

EncryptTitan will then encrypt the message and deliver it to the recipient based on the delivery method associated with your subject line keyword.
