Offboarding from the Platform

If you are canceling one or more of your Platform services, you will need to follow the offboarding steps below before your service deactivation date (i.e. when your renewal expires). Depending on which services you are terminating, offboarding may include removing settings from your Microsoft environment . As part of our automated system, your portal will also be shut down by our support team and your data deleted. You will not need to log a support ticket for offboarding.

If you change your mind about canceling the service, please reach out to your Account Manager and/or Customer Success Manager.

To offboard from the Platform:

  1. Export your data (optional)

    If you want to retain any reports for auditing purposes, you will need to download these using the Report Manager on the Platform. Once a customer's solution/s have been removed from the Platform, the customer no longer has access to reports.

  2. Remove solution/s

    The MSP needs to remove the applicable solution/s from the Platform on behalf of the customer. This can include Email Security, Phishing Simulation, Security Awareness Training and/or Email Archiving.

    To remove a solution, locate the customer in your Customers table and click the Edit icon on the right. Deselect the solutions you need to remove, then click Save Changes.

  3. Disable the journaling rule (Email Security and Email Archiving)

    The customer, or an MSP with a global admin role in the customer's tenant, needs to disable the journaling rule for Email Security that was set up for the customer's mail server.

    To do this, open the Microsoft Purview compliance portal and go to Solutions → Data lifecycle management → Exchange (legacy) → Journal rules. Select the applicable rule and disable or delete it.

  4. Change the NDR email address (Email Security and Email Archiving)

    If a non-delivery report (NDR) email address was set up on the mail server, this must be removed or replaced with a different email address.

    To do this, open the Microsoft Purview compliance portal and go to Solutions → Data lifecycle management → Exchange (legacy). In the field Send undeliverable journal reports to, remove the solution-related email address or enter a different address.

  5. Remove Outlook add-in (if used)

    If you have deployed the TitanHQ Outlook add-in, you will need to remove it for all users.

    To do this, open the Entra admin center and go to Settings → Integrated Apps. Open the entry for TitanHQ and click on Delete app.

  6. Revoke TitanHQ's access to your environment

    If you have added a TitanHQ application in your Microsoft environment, you will need to remove it.

    To do this, open the Entra admin center. Under Enterprise applications, search for "TitanHQ". Open the entry and click on Delete.
